This page outlines Springboard release version 7.33 scheduled for release in November 2023.
Version 7.33 introduces the following new features outlined below.
Hiring Manager Dashboard
Hiring managers have a crucial role in the recruitment process, and there are several tasks and responsibilities they should consider when managing the hiring process effectively. Keeping this into consideration, with Release 7.33 we are releasing the Hiring Manager dashboard.
The hiring Manager dashboard is designed as a centralised dashboard designed keeping in mind the day-to-day activities of the hiring managers. It displays the essential information for the logged-in user to help them monitor or complete the pending activities.
The key for its effectiveness of the hiring manager dashboard is to provide necessary information without overwhelming a user that does not interact with the Springboard on a daily basis.
Thus, hiring manager dashboard helps the logged in user with:
- High-level view of the tasks to monitor or complete.
- Helps them tracking key metrics across their postings, requisitions, and overall pipeline.
- Reduces reliance on recruiters.
- Provide a personalised Springboard experience.
Accessing Hiring Manager dashboard
The access to this dashboard is via user-role and can be added on-demand basis. Please contact the PeopleScout Support team to get access.
However, the hiring manager dashboard access is auto provisioned to the users which are
- Configured as a hiring manager on a requisition.
- Added as a reviewer on the request to hire form.
- Added a panel member on an interview, feedback request.
- Added a reviewer on an offer letter or form approval workflow.
- Added as a task assignee.
By default, all existing and new hiring managers will be presented with the Hiring manager dashboard upon login to their Springboard instance
However, the logged in user will have an option to switch back to the dashboard option anytime they wish just by clicking on the “Dashboard” as highlighted in the image below.
Similarly, they can switch to HM dashboard view by clicking on the HM Dashboard.
Navigating Hiring Manager dashboard
The dashboard has been designed in a way that it is simple, easy to use and provides only the logged-in user specific information.
With regards to the elements on this dashboard, the dashboard can be divided into two sections:
- Welcome message panel
- widgets
Welcome Message – When your hiring managers login, they will be welcomed by a personalised message for them at the top. This welcome message and brand logo is configurable.
Please get in touch with the PeopleScout Support team to configure the desired welcome message for your company.
We have also added a quick help desk guide link to the welcome message. This link redirects user to the PeopleScout Helpdesk article - “Hiring Manager Dashboard” that provides them information and guidance to navigate the HM dashboard.
Widgets - As hiring managers need to perform a wide range of tasks and functions to streamline the recruitment process, the HM dashboard has been designed to suit the most requirements.
The hiring manager dashboard consists of the following widgets each representing a functional module within Springboard and arranged in a way that suits the most hiring processes:
- Request to Hire
- My Interviews
- My Feedback Requests
- My Offer Approvals
- My Approval Forms
- My Tasks
- My Jobs
- My Advertisements
Key characteristics for the widgets are as follows:
- The placement of the widgets has been done considering the sequence of events that would happen in common hiring pipeline.
- Each widget represents a module that hiring managers usually use and action item with the hiring manage in the module or provides insights for that module.
- The buttons on each widget are clickable and when clicked takes the hiring manager to the module screen. For example, on Interviews widget the button says 1 Scheduled. On clicking the button, the hiring managers are redirected to Interviews Search screen with logged in user as panel member and interview status booked.
- Any button when hovered upon or clicked turns dark blue.
- The widgets are displayed based on the modules assigned to HM and if there is nothing pending with HM for that module it is represented by a Snoozed widget. Please refer to My Offer Approvals widget in the screenshot below.
- If any module is not assigned to the hiring manager, the widget shall not be displayed.
Let us learn more about each widget
Request to Hire – The request to hire widget allows the logged in user to monitor the RTH requests that is pending with them and the ones that they are part of the approval workflow process.
Clicking on the Approval Pending button will redirect the user to the existing Request To Hire management screen with the logged-in-user's email address in the approver email.
With this change, we have also centralised the RTH review process within Springboard.
Prior to this release, the approvers could only approve the RTH request via link received over email. However, now they will be able to review the RTH request from the Springboard itself.
If the logged-in user is the current approver on the RTH, then clicking on the icon under the ACTION column against the RTH request, the RTH form will be displayed.
The user can then review the request form and provide their approval or rejection based on their decision.
Please keep in consideration that the email request process remains as-is.
My Interviews – This widget provides hiring managers insights into their booked interviews.
Clicking on the Scheduled button redirects the user to the Interview Search screen with the panel member filter set as logged-in user and interview status as Booked.
My Feedback Requests – This widget allows the user to get a sneak preview of the feedback requests. It consists of three buttons –
- Pending - It displays the hiring manager feedback requests pending with the logged-in user as the panel member. Clicking on this button takes the user to the Feedback Requests management screen with panel member filter set as logged in user and status set as Pending.
- Saved - It displays the hiring manager feedback requests saved by the logged-in user as the panel member. Clicking on this button takes the user to the Feedback Requests management screen with panel member filter set as logged in user and status set as Saved.
- Submitted - It displays the hiring manager feedback requests submitted by the logged-in user as the panel member. Clicking on this button takes the user to the Feedback Requests management screen with panel member filter set as logged in user and status set as Submitted.
The hiring manager Feedback Requests management screen is being introduced with this release. We will learn more about it in the following section.
My Offer Approvals - This widget helps users understand how many of their offer approvals are pending.
Clicking on Pending button redirects the user to the Offer Approval Management screen with the Approver name set as the logged in user and status set as Pending.
My Approval Forms – This widget provides the user sneak peak of the custom forms pending for submission and approval.
Clicking on Pending button redirects the user to the Forms Management screen with the Recipient name set as the logged in user and form status set as In-progress, Waiting for approval.
My Tasks - This widget provides user the preview of their assigned tasks that are in pending status.
Clicking on the Open Tasks button redirects the user to the task search and management screen with the assigned to filter set as the logged in user and status set as Open.
My Jobs - This widget provides user the preview of jobs on which the logged in user is configured as hiring manager.
It consists of three buttons –
- Draft- It displays the jobs with draft status and the logged in user configured as the hiring manager.
- Approved- It displays the jobs with approved status and the logged in user configured as the hiring manager.
- Released- It displays the jobs with released status and the logged in user configured as the hiring manager.
My Ads - This widget provides user the preview of job ads on which the logged in user is configured as hiring manager. They will be able to see this widget only if they have access to the Ads module in Springboard. It provides expiring soon and open ads numbers to the logged in users for the jobs that they are responsible for.
Manage HM Feedback Requests directly from Springboard
The request to feedback link is sent over email to the panel members. With Release7.33, we are introducing Feedback Requests screen under the Administration area to centralise this action and help the panel members to view and action the requests sent to them over email.
This implies that if a panel member has pending feedback request(s) and they login to the Springboard, they will be able to view the number of pending requests from the HM dashboard --> My Feedback Requests widget and clicking on the pending button redirects the user to Feedback Requests screen.
The access to screen is based on the user-role. Please get in touch with the PeopleScout Support team to help set this screen up for you.
On this screen, they can see the following columns
- Job Reference – The job reference number for which the request feedback action was initiated.
- Step – The work-folder step on which the request feedback action was initiated.
- Feedback Request Link –This field can have two values based on the logged in user’s persona I.e.
- In-progress – It is displayed when the feedback request is pending or saved.
- If the logged in user is panel member, then the link to the feedback request is hyperlinked here and clicking on it will open the feedback request form in a new tab where they can review and provide the feedback.
- If the logged in user is a recruiter or admin then they will only be able to view In-progress status.
- View feedback - Clicking on the View Feedback will open the completed feedback request as a pdf file in a new tab. This is similar to View feedback request action from the job workflow folders.
- In-progress – It is displayed when the feedback request is pending or saved.
4 Panel Members – This column displays the panel members names.
5 Due Date – This column displays the due date for the feedback request.
The goal is to give recruiters ability to monitor the progress of the ongoing feedback requests and also to enable them to view the completed feedback requests.
For hiring managers, this screen will help them manage the feedback requests sent to them over email. So instead of finding the links sent to them over emails, they can find, review and action from their Springboard instead.
The current email functionality remains as-is.
Improved experience searching for jobs with Exact Phrase and Similar Terms options
With this release, career site job searches can be improved with the following options when searching for jobs by Job Title or Keywords:
- Exact Phrase – by checking this option, typing Registered Nurse will find jobs matching that exact phrase. Deselecting this option with search for jobs with “Registered” or “Nurse” in the description.
- Similar Terms – Springboard can be configured with a customer specific thesaurus which will return a broader set of matching jobs to candidates. For example, searching for “RN” can returned “Registered Nurse” positions
Talk to your account manager if you are interested in enabling these options within your careers site. Setting up the “Similar Terms” thesaurus requires specific consultation and configuration work with your recruitment teams.
Generate reminder emails to candidates to complete an online form when the form is posted to the Onboarding portal
With the existing functionality, when an orbeon form is published on the onboarding portal, there are no reminder emails sent. With release 7.33, we are now bringing the functionality to generate the reminder notification emails to candidates to complete an online form when the form is posted to the onboarding portal.
On the Generate Form screen, as the user clicks on the Display on candidate portal (recommended) under Publish Form, they can see Remind Recipient After field.
With this change, as soon as the user selects any value more than 0, they will be able to see Email Template selection panel where they can choose the reminder notification email template that will be sent out to the candidate as the configured days.
The reminder email could be configured via the manual action and as rules engine consequence.
Support additional mandatory fields on Campaign Expression of Interest pages
Springboard’s Campaign Manager module provides clients the ability to publish their own microsites and portal pages to complement their careers site. Projects, targeted talent segments, and upcoming surge roles can all be promoted via Campaigns Module pages.
Expression of Interest forms can be incorporated into these pages, and with this release all basic and custom fields added to the EOI can be made mandatory or optional.
To setup an EOI page, from the Portlets library choose EOI
The EOI widget details will display. Define which fields are mandatory via the selection toggle controls then click Save and Publish to reflect.
Please note: the resume upload control cannot currently be forced as a mandatory option.
For the custom fields you can also select to make it mandatory by clicking ADD Additional Fields (Custom Properties).
Tick the specific checkboxes you want to make mandatory then click on Save button.
Support creating candidate applications via Spreadsheet uploader (new application form framework)
Springboards Spreadsheet Upload feature provides the ability to upload a set of candidates directly into the system.
For clients using the new Application Form framework, which provides customers the ability to setup and self-manage multiple application forms, Spreadsheet Upload now supports populating the application form for a candidate uploaded via spreadsheet.
For more details on uploading a spreadsheet of candidates, refer to the Springboard help documentation.
Copy existing Talent Folder to create new
It is now possible to copy an existing talent folder in order to create a new one, introducing a time-saving feature for users.
When copying a talent folder, the talent folder details and associated workflow process are all cloned. Candidates are not copied when cloning a talent folder.
To copy a talent folder, click on the Copy Talent Folder icon from the Talent Folder Search grid. You will be prompted for a name for the new folder, and on clicking Continue, the talent folder will be copied.
Support Unsubscribe links in Job Alert emails
Clients sending Job Alert emails to candidates are now able to include a one-click unsubscribe link into the header or footer of the email.
On clicking the link, the candidate's job alert profile is immediately suspended, and they are redirected to the Careers Portal page. From here they can log in to make changes or re-enable their profile, or exit to leave their profile suspended.
Unsubscribe links sent in emails are valid for a month. On clicking an expired link, they will be directed to use a more recent email to unsubscribe, or alternatively log in to their profile and manage their alerts there.
New application form basic fields and localisation
Springboard’s new Application Form framework provides customers the ability to setup and self-manage multiple application forms.
Whilst customers can create their own fields to capture any data needed, many customers are looking to capture similar information from candidates. To support this, Springboard has added the following new fields as standard to the application form library.
- Where did you hear about us
- Gender
- Right to Work (Visa Status)
- Desired Salary
- Preferred Location
- Preferred Employment Type
- Do you identify yourself as Australian Aboriginal and /or Torres Strait Islander origin?
- What is your ethnicity?
- Have you a disability?
- English as a Second Language
- Reasonable Adjustments
- Disability Confident Scheme
- Criminal Conviction
- Marital Status
- Current Job Title
- Current Employer
- Nationality
- Sexual Orientation
In addition, it is possible to hide basic properties from the library for client solutions or geographic regions (for example UK/US) where some fields are inappropriate or confusing.
Searching for candidates on a job or talent folder grid by name has changed
With this release, the way to search for a candidate by name within a job or talent folder has changed.
Previously, an input box was available within the header of the Name column.
With this release, the search box for candidate name has been moved behind the clickable filter icon. This change is consistent with how all other column filtering is achieved.
Springboard Version 6 is being retired
As part of this release, Springboard Version 6 is being deactivated and will no longer be available to clients.
First introduced in 2010, Springboard Version 6 provided clients with an all new user interface that was inspired by the likes of Microsoft Outlook and iTunes.
Springboard Version 6 introduced several features which at the time were revolutionary to web based talent management systems, including:
- Drag & drop capabilities for moving candidates between folders
- Inline resume display
- Ability to view both a grid of candidates and the details of a specific candidate at the same time.
With the introduction of Springboard’s new look and feel, and all customers now using Springboard Version 7 or beyond, it is finally time to bid farewell to Springboard Version 6.
On behalf of everyone at PeopleScout, we would like to thank Springboard Version 6 for its many years of faithful service to our customers.
